Sharing
Sharing and access control
Public forms, share links to single entries, and per-question control of what each audience sees.
Three access channels
A public form link
Anyone with the link can start a new entry. No account, no app: one question per page, with a review step before sending. Works on phones. Each submission arrives as a draft in Public intake.
A share link to one entry
Send a client, broker or colleague a link to one specific entry. You choose whether anyone with the link can open it or only your workspace members, whether it is read-only or editable, whether it expires, and whether it shows the whole form or just the sections they need.
Your own team
Admin, Editor and Viewer roles, or roles you define yourself. Give a person or a group access to particular forms, with an expiry if it should end.
Visibility per question
Three levels
Each question and section is marked: public, share links, or staff only. Internal notes, risk scores and reviewer comments stay internal.
Enforced on the server
Hidden questions are removed before anything is sent, so they never reach the recipient's browser, and an attempt to write to them is refused.
Preview before you send
The public form and share links can be previewed exactly as the recipient sees them.
Examples
Collect, then complete
A prospect fills in the short public form. Your team picks the draft up from Public intake, then sends the prospect a share link to the longer sections: documents, signatures, details the public form never asked for.
Bring in a third party
Share one entry with a broker or adviser, limited to the sections they handle, read-only or editable. When they sign in as a workspace member, their changes are recorded under their own name.
Revocation and logging
Revoking links
Pause or revoke a public form, revoke or expire a share link. A share link stops working when its entry is deleted, or when the person who made it leaves your workspace.
Workspace switches
Turn off every public form, or every share link, across the workspace at once.
Audit log
Creating, pausing and revoking links is written to the audit log, alongside every change made to the entry itself.
Spam protection
Public forms are rate-limited and screened for bots on the server. No CAPTCHA.
Limitations of the public form
No logic on the public form
Conditional logic and calculations don't run on the public form; they run on our servers once the entry arrives. For a form that depends on them, use a share link.
Uploads go through share links
File and signature questions are never on the public form. Ask for them afterwards with a share link.
One row per repeating section
The public form collects one row per repeating section. Your team, or a share link, can add the rest.
A link, not an embed
The public form is a page of its own that you link to from your site or an email. It can't be embedded in another page.
